CLIENT TERMS OF BUSINESS AND GENERAL CONDITIONS


Important

The following are our terms of business and general conditions with the Client. These terms apply for all bookings with Ventoris Sports International Ltd, and its associated brands, hereinafter referred to as Superset Tennis. These terms are effective from 1st January 2025.

1. Client request

All client requests must be sent to us via our web site www.supersettennis.net, by e-mail info@supersettennis.net or digital and/or social media channels.

 

2. The Contract

The contract shall be deemed to have been made between Superset Tennis and the Client when the Client has confirmed the requirements for the Event or the program of activity by completing our booking form online or in writing by returning a signed copy of our proposal accepting the terms of business and these conditions on behalf of all parties taking part in the Event or program of activity. All tennis related events have been booked through Superset Tennis and any overseas travel arrangements will be secured directly with an ATOL bonded travel company, an airline or online travel providers.

 

3. Payment Terms

A non-refundable deposit of 40% of the agreed total amount will be due upon acceptance of the contract. Once a contract and payment is received the Client’s requirements will be confirmed by us and we will issue the Client with the invoice, which should be checked and queried if not in order. We shall not be liable for any information that might be incorrect if the Client does not notify us within 7 days of receipt of the invoice. Additional payment of the remaining balance shown on the final invoice sent to the Client must be received by SelecTennis by the date specified on the invoice. A reminder is not sent and it is the Client’s responsibility to forward balance by the due date, shown on the invoice. SelecTennis reserves the right to cancel the contract without further notification to the Client. In such instance the Client is liable for the deposit paid. For all requests made within 8 weeks of the Event, the total amount for the Event is required upon acceptance of the contract. Remittance may be made by:

Secure online payment via our booking agent platform WeTravel to Superset Tennis business account. Any card processing fees charged by banks or any other intermediary for processing will be charged back to sender. We pay WeTravel platform fees.

 

4.Fees

Programmes offered by Superset Tennis as part of the package are subject to fixed package price inclusive of VAT and taxes unless stated otherwise.

Part of our services to the Client is based on obtaining special rates on behalf of the Client. The fee we charge is based on management fee for the overall service that we provide as follows:

 

40%              under           £50.000

35%              between       £50.000 – £85.000

30%              between       £85.000 – £150.000

25%              between       £150.000 – £250.000

15%              over               £250.000

 

The fees payable according to the above scale depend on the total amount of the cost revenue incurred in the event. All of the above charges are subject to VAT unless otherwise specified. A fixed contingency fee may be applied to cover any unforeseen costs that we may incur on behalf of the Client during the Event. 

 

5. Cancellations and Alterations by Superset Tennis

All the offers advertised are correct at time of going to press. A great care has been taken to ensure that Events promoted are of exceptional quality and will be available throughout the period of the promotion. However, if any changes to the Event were necessary, due to circumstances beyond our control, we would advise you prior to the Event. We plan the arrangements for Events many months in advance and although it is unlikely that we will have to make any changes to confirmed arrangements, it does occasionally happen. We reserve right to make such changes and alternations at any time. Most changes are of a minor nature and we will advise the Client as soon as possible prior to the Event. Where major changes are necessary, SelecTennis will reimburse the client or give credit to the client the value of any refund received where applicable. A major change would constitute cancelling the Event or any other reason.

 

6. Cancellations and Alterations by Client

If it becomes necessary for the Client or any member their party to cancel the booking or part of it, the Client must inform us in writing immediately. Cancellation charges are calculated from the date we receive written notification in our office. If we receive the written notification within 12 weeks of event date, then the cancellation charges below will apply:

More than 85 days     Deposit

84 - 49 days               50%

48 - 29 days               70%

28 days or less           100%

 

If the reason for cancellation is covered under the terms of an insurance policy, the Client may be able to reclaim these charges by submitting the relevant documentation to the insurance company.

 

7. Insurance

It is essential that all Clients arrange adequate insurance cover. Certain events include specific insurance policy that is required for a particular event.

 

8. Liability

In all arrangements involving third parties we act only as the agents on behalf of the client, and no liability of any kind whatsoever shall be attached to us. The Client shall indemnify Superset Tennis against any claim made by such third parties. We accept no liability for any loss or damage or injury to any person or their property howsoever caused. We will not be held liable for any eventualities that are not part of the Client’s arrangements with us such as suffering through misadventure, illness, personal injury, or death during the event. We reserves the right to cancel the event due to reasons beyond our control. We will make every effort to adhere to the advertised program for each event but if any programme should be altered or dates changed for any reason beyond control of Superset Tennis, we will consider it to be reasonable. 

 

9. Misbehaviour

We reserve the right at our absolute discretion to terminate without notice the Event arrangements of any Client whose behaviour is such that it is likely in our opinion to cause distress, damage or annoyance to our Clients, employees, and property or to any third party. In case of overseas Events, should any passenger be prevented from travelling because in the opinion of any person in authority, they appear to be unfit to travel or likely to cause disturbance to other passengers then our responsibility for their arrangements with us thereupon ceases. Full cancellation charges will apply and we will be under no obligation whatsoever to provide a refund of compensation for costs, which may be incurred. SelecTennis has no control over the behavior of person staying at designated venues, or visiting events and is not responsible for any withdrawal or impairment of facilities or other loss or damage caused by them.

 

10. Force Majeur

We cannot accept liability in any circumstances where performance and/or prompt performance of the contract is prevented by reasons of war, threat of war, civil strife, riots, terrorist activities, industrial disputes, natural and nuclear disaster, fire or adverse weather conditions.

 

11. Extras

The cost for services and goods provided by us at any event or programme of activity, which are not included in the contract and which are provided at the request of the Client or its guests shall be invoiced separately at Superset Tennis ruling rates and shall be due for payment within 14 days of invoice.

 

12. Availability

 All offers and packages are subject to availability.
